Presentation Planning

What Makes a Presentation Effective?

To create a successful presentation, it is important to consider both the presenter and audience’s needs. This will help gain their attention, build understanding of the material presented, establish trust between speaker and listener for optimal connection points with key goals in mind.

Careful planning is an absolute necessity for achieving success. It’s a fundamental step to ensuring your goals can be reached and objectives fulfiled.

There are Seven Steps to Planning a Presentation

1. Preparation

An experienced presenter must create a presentation that takes into account the audience, content and format. Creating an engaging story-line can help drive home key points for maximum impact! These factors include:

  • goals;
  • viewers;
  • location;
  • remit.

Goals

When crafting a presentation, identify the end-goal and what you wish your audience to walk away with. This will guide how best to approach your display’s content and tone; for instance, a seminar may call for logical discourse while an appeal seeking donations requires creativity. Ask yourself:

  • What message do you want your audience to understand?
  • What should your audience do after your presentation?
  • What is the best way to structure your presentation to achieve your goal?

Viewers

To command attention as a powerful presenter, it is essential to understand the different profiles of your audience and craft content that resonates with their varying interests and knowledge levels. Consider:

  • What is the existing knowledge level of your audience regarding your topic?
  • How can you connect new material to concepts students are familiar with?
  • Do you need to convince them of your perspective?

When giving a presentation, always consider who you are speaking to. Focus on providing meaningful examples that the audience can relate to and avoid using complicated technical jargon which may confuse them or make your message ineffective. Customizing content for an audience helps ensure their engagement with it!

Location

The environment in which your presentation takes place is just as important as the content. For example, a lecture theatre can set an atmosphere of formality while inviting discussion and collaboration within intimate settings such as seminar rooms allows for a more casual setting to foster engagement with the audience. Ask yourself:

  • What atmosphere would you like to create?
  • What impact does the setup of a room have on your connection with the audience?
  • Is there any way you can rearrange the room to meet your goals?
  • What types of audio and visual aids can you use?

Remit

Stick to the instructions! Have you been tasked with presenting a paper at an upcoming conference or fulfilling certain academic standards? Make sure your presentation meets all of its requirements. Ask yourself:

  • How much time do you have?
  • Do you need to follow a certain format or style?
  • Are there any requirements for your presentation, such as a certain title or number of slides?

2. Deciding on the main topics.

With your presentation design in order, it’s time to make the main points. Three is a good number since most 10-minute talks should be succinct and well lived out. Introduce your speech effectively at the beginning so that listeners can fully appreciate its substance — transitions are key for this purpose! Once you have their attention, present data logically allowing them to easily process information without feeling lost or overloaded with information leaps along the way. With these strategies accounted for: success will soon come knocking on your door! Pose this question to yourself:

  • What are the key points you want to emphasize?
  • Does this writing make sense and flow logically?
  • Does this summary align with your personal goals and the requirements of your audience?

3. Selecting your supporting evidence.

For your argument to really hit home, complement it with relevant data and detailed explanations. Creative visuals such as diagrams, photos or videos can add a dynamic expressiveness which will help aid understanding and build trust in your message. Consider:

  • How can you make your argument more clear (by explaining any technical terms, and reminding people of the theories which support it)?
  • What can strengthen your argument (making relevant connections to other people’s work, citing experts, or providing evidence from your own research)?
  • What can you use to enhance your argument, such as a video clip, slide, practical example, or analogy?

4. Creating connections between ideas.

Linking statements provide the structure of your presentation, connecting each piece in a linear flow and displaying how points are related. Use them to illustrate the cohesive journey you’ve crafted for your audience! Examples of connecting phrases include:

  • Our next step for the project was to…
  • Another point to take into consideration was…
  • This argument leads to the conclusion that…

The right connecting phrases can make all the difference in a long presentation, helping to capture your audience’s attention and reinforce essential points of discussion. These bridges between topics provide meaningful direction throughout an argument while showing respect for listeners by preserving continuity from start to finish.

5. Developing an introduction

Making a strong introduction is essential for captivating your audience’s attention. Your initial impression sets the tone of what they can expect to hear, so you must create an engaging platform before diving any deeper into the presentation. Setting up this well-structured groundwork will ensure that everyone remains focused and attentive in understanding your message throughout its entirety. Make use of the following structure:

  • Hi, my name is [name], and I am [age] years old.
  • Introducing the topic of discussion.
  • I will be discussing it by comparing test results and reviewing related litreature.
  • My hope is that this presentation will spark an interactive, stimulating dialogue among the audience as they learn and become more knowledgeable.
  • I urge my audience to engage in the presentation by listening attentively and taking notes if desired. I suggest they look over any relevant handouts, as well as posing questions before, during or after the journey together through this subject matter.

Give your audience the time to absorb and reflect on each point before diving into the key messages.

6. Coming to a conclusion.

Once you finish your presentation, sum up the key takeaways with a few succinct statements and create an impactful ending. Use this structure for maximum results:

  • The aim of this presentation is to investigate the connection between X and Y.
  • To summarize, we have gone over …
  • In conclusion, through analysing X, we discovered that Y…
  • As evidenced by the findings in my presentation, it is clear that there is no meaningful connection between X and Y.
  • Leave your audience with a thought-provoking question or statement to conclude your presentation.

7. Review your presentation.

Give your presentation a polished finish by investing the necessary time to review its contents. Ask yourself:

  • Does the presentation accomplish your goals?
  • Does it follow a logical structure?
  • Is the content of your presentation suitable for your audience’s knowledge?
  • Is the length of the presentation appropriate?
