Guidelines for Planning and Organising

Prioritise. Prioritising allows you to prioritise your tasks, even though you cannot do them all at once. You can break down your work into smaller parts if you are able to prioritise. This will allow you to focus on each task individually, starting with the most critical.

Do you have a million things that need to be done? Make a list of all the things you need to do. Next, arrange your list in the order that is most important. Then, start to tackle the items on your list in order that you have created.

Plan ahead

Your ability to plan ahead is key to being a successful organiser and planner. The more time you spend planning, the better. Sometimes, you don’t have control over how long it takes to complete a project. Your manager might ask you to handle an unexpected project. You can only do the best with the time you have in these situations.

Except for these unexpected projects, plan as far ahead as you can at work. These unexpected projects will be easier to manage if you plan ahead.

As best you can, plan major projects. Do you create a quarterly report? You can plan ahead and make sure that you have all the necessary information to complete your report.

Time Management

You can’t increase your time, but there are ways you can make it more efficient. You can manage your time by making sure that you do the right things. You will feel more free when you manage your time.

Your list of priorities should be accompanied by a time management checkbox. Add time estimates to each task to your priority list.

Coordinating Resources

Each assignment and project requires some kind of resource. You need a resource to complete a task. Most people think of resources as money. Resources don’t always need to be money. Sometimes, a project will need human resources or workers. Some projects may require space and time. For larger projects, you may need many resources.

Break down a task or project into smaller parts. How many resources are you going to need? Think about the people and materials that you will need to complete your project. Be honest. Are you looking for a freelance graphic artist to create content? You can use your resources to create the best product and strategy.

Delegating

This is often the most difficult. It is an essential part of the workplace that you can delegate. You delegate some of your work. These people then take responsibility for getting the work done. Simply put, delegation means you have chosen the most efficient way to distribute the work.

Referring back to the previous example, did the group decide to hire a freelance graphic artist to create new marketing materials in their meeting? You can delegate this task to another member of your team. It can be difficult to delegate, but trust your team. You can learn from your mistakes and evaluate if things don’t work out.

Creating Systems

If a machine works correctly, it will do the work automatically without issue. A machine can repeat a process repeatedly with little error. Even though humans are not machines, we can design systems and processes that allow us to perform like well oiled machines.

Are you doing the same tasks? Write down the steps you take to accomplish each task – a checklist. Once you’ve created your checklist, you now have a guide to help you remember what to do next.

Organise Your Workspace

You can organise yourself better by starting at your desk, or where you do most of your work.

Ask yourself if your current workspace is helping you organise or causing problems. Some people work better with some clutter. In that case, you can keep it there. However if your desk is affecting your productivity, it’s time for you to make some changes.

What are you really going to need? You can either keep it safe or throw it out if you find it no longer useful or inconvenient.

You can create an “action zone” at your desk where you keep all the items you need for your current activity or project. This will allow you to quickly get started, avoid distractions and stay focused on your task. Clear away all debris from one project to make way for the next. Keep your workspace clean and tidy. Make a list of what you need to keep and let go of everything else at the end.
